Dear Victoria:  I feel really stupid. I spent about 30 minutes writing you a very lengthy email and you responded with a quick, "straight to the point" response that answered my question in one sentence. My question is: Are emails supposed to be short or long?  --Cathy

Dear Cathy: In my opinion, business emails should be short, to the point and quick to read. Most business owners receive tons of email every single day. 50 State Notary averages from 400 to 600 emails per day and I know there are much larger companies than us out there. The larger companies must receive thousands. Most business owners would not have enough hours in the day to read every single email they receive and sufficiently answer it.  Therefore, in order to get the fastest response, your email should be as short as possible but with enough detail and information so the person can respond quickly.  Long stories should be reserved for a telephone conversation or a personal email to a friend or relative.

Examples:

Bad:  I think I placed an order several weeks ago back in October. It was the month my mother had a heart attack and I was feeling rather poorly so I cannot remember the exact date. I did not receive anything and was wondering what happened.

Right:  I ordered a Training Video No. 2 in October 2004 but never received it. Please check on my order. My contact information is ....

Dear Victoria:  I purchased a listing several years ago for $10.00 in the Nationwide Notary Directory and received a renewal notice today. The price is now $39.99.  What happened? --Virginia

Dear Virginia:  Do you ask this question to the cashier when you go into a grocery store and the prices have gone up? Why would you think our prices would remain the same forever and ever? The Nationwide Notary Directory has grown substantially over the last several years. Each listing now has it's own page. In the past, each state only contained a list of names with email links. Each listing now has much more detailed information about each notary. In the past, this opinion did not exist. In the past The Nationwide Notary Directory only received traffic of 1,000 visitors per month. Now we are getting almost 3/4 million. So the answer to your question Virginia is that things always change. Prices go up as well as the price of The Nationwide Notary Directory.

Dear Victoria:  I followed the directions to sign up as a Notary with Chase and received a very disturbing email message back from the person it states to contact .. I have included a copy of the email below.

Hello.  mary.poulter@chase.com has denied your request for a secure email address. The reason for denial is given as : We do not want you handling our closings. We have heard bad things from several of our title companies and do not want you screwing our loans up. Sorry. Please contact your Chase representative if you need further assistance.

I do not feel that this was a professional response. I have had no complaints from any companies against my work. I am very upset about this! --Pam

Dear Pam:  I can understand why you are upset. If you have received no complaints from this company about your work, then there must be some type of communication  breakdown.  Perhaps you should contact Chase (someone who called you for an assignment in the past) and find out what type of record they have on you.  I also would find out the name of the manager of Chase and write them a letter. Enclose a copy of this email and ask them to provide you with information on any background record they may have about your work performance.  You want to find out "why" they are not happy with your work and find a solution to clear up the matter.  Or perhaps, this automated email was sent by mistake. But at least you can get to the bottom of the problem and perhaps fix it.

Dear Victoria:  I really enjoyed chatting with you this morning.  Here is the little translator program I told you about -- it is called 'Primo PDF'.  It will translate any document into pfd format.  Once it is installed, you would choose 'Primo pdf' as your printer, then it moves your doc into pdf to print on your printer.  Test it out - it is so cool! Dear Sharlene:  Thank you for providing this information to help save other notaries lots of headaches. As we discussed, although most companies will send edocs to the notary signing agent using the industry standard of Adobe Acrobat PDF, there are other companies that use different types of software for viewing and printing the mortgage documents.  I am sure the Primo PDF program you recommend will help solve these issues.
